Introduction

EgoValeo conducts activities in Recruitment and Selection, Outplacement, Training, and HR Consulting and holds ministerial authorization no. 39/0014503 to operate as a Recruitment and Selection Company and no. 39/0014481 to operate as an Outplacement and Relocation Support Company.
EgoValeo is committed to protecting the Personal Data entrusted to it. Consequently, the management and security of such data are ensured with the utmost care, in compliance with privacy regulations (e.g., EU Regulation 2016/679 – GDPR).

Data Subject to Processing and Collection

The personal data collected from candidates include:

  • Identification data: (name, address, email, phone numbers, gender, date of birth, Skype ID).
  • Educational and professional data: (CVs, education and related details, certifications and related details, extracurricular training, professional skills, current employment status, previous employment, compensation details).

Data may be collected from the individuals concerned through the following channels:

  1. Filling out the registration form on the website www.egovaleo.it. Those who submit their data via email may also be invited to complete this form.
  2. Importing information from social networks (with the individual’s consent).
  3. Directly from client companies or third parties who have previously obtained the individual’s consent.

EgoValeo is expressly authorized by the Privacy Authority to process sensitive or “special” data. However, as a policy, we do not collect this information unless strictly necessary. If such data is required, it will be requested as needed and used only with explicit consent.

We encourage individuals to omit sensitive data not relevant to the processing purposes, such as information regarding ethnic origin, religious, political, or philosophical opinions, as well as any details about general health conditions or sexual life. Additionally, non-relevant data concerning EgoValeo’s services should not be included.

Purpose and Legal Basis of Processing

The personal data provided will be processed solely for purposes related to managing recruitment and selection services:

  • Conducting recruitment and selection activities, including opportunities for which the candidate has not directly applied, managing applications, and complying with legal obligations EgoValeo is subject to.
  • With prior consent, personal data may also be used for direct marketing activities, such as promoting our services via email or phone.

EgoValeo will process personal data based on consent or as necessary to fulfill contractual obligations. Failure to provide the required data will result in EgoValeo being unable to consider the candidate for a selection procedure. Candidates are encouraged to specify companies or groups they do not wish to be contacted by, to ensure confidentiality and avoid unwanted interactions.

Data Processing Methods and Retention Period

Data processing will be carried out manually and with electronic tools. Data will be stored primarily in electronic archives. Specific security measures are in place to prevent loss, alteration, unlawful or improper use, unauthorized access, or processing inconsistent with the purposes of collection.

Data will be processed for the time necessary to achieve the purposes for which they were collected. EgoValeo will periodically send reminders, within two years from the start of data processing, to allow individuals to object to the processing at any time.

Scope of Data Communication and Dissemination

Candidates’ personal data will only be processed by individuals authorized by EgoValeo or Data Processors who have been provided with specific instructions. A list of Data Processors can be provided upon request.

Candidates’ data may be shared with:

  • EgoValeo’s client companies.
  • Public entities or institutions, as required by law.

Data Sharing Scope

Candidates’ data may be shared with client companies located:

  • In Italy.
  • Within the European Union.
  • In countries deemed adequate by the European Commission.

Data Controller and Data Protection Officer

The Data Controller is EgoValeo, with its registered office in Rome, Via Francesco Sapori, 39, represented by its legal representative pro tempore.

Within the company’s organizational structure, a Data Protection Officer (DPO) has been designated under Article 37 of EU Regulation 2016/679. The DPO can be contacted via email at [email protected].

Data Subjects’ Rights

Articles 15 et seq. of the GDPR grant users specific rights concerning the Data Controller. In particular, individuals may:

  • Obtain confirmation of the existence and access to personal data and learn about their origin (subject to third-party rights), purposes, retention periods, and processing methods.
  • Withdraw consent for personal data processing, without affecting the legality of prior processing.
  • Request deletion, anonymization, or blocking of data no longer necessary for the purposes for which it was collected and processed.
  • Request updates, corrections, and integration of processed data.
  • Object, wholly or partially, for legitimate reasons, to the processing of personal data, even if relevant to the purpose of collection.
  • File a complaint with the supervisory authority.
